Terms of Service

Cyclios is an organisational tool for people applying to medical, dental and physician assistant programmes. It tracks your applications, deadlines, coursework, hours, letters and essays in one place, from the first prerequisite through the application cycle.

It is not an application service, an advising service, or a guarantee of anything. We are not affiliated with the AAMC, AACOM, TMDSAS, ADEA, PAEA, any application service they run, or any school or programme, and we cannot submit anything on your behalf. Nothing in Cyclios is legal, medical, financial or professional admissions advice.

Cyclios shows requirements, essay prompts and dates gathered from schools’ own pages, from application services, and in some cases from automated collection. We take this seriously: every date and requirement carries its source and a link to the page it was read from, a list nobody has confirmed against the school’s page since it was read is marked as such inside the product, a school whose own list we have not read is shown with the standard set for its path and marked so, and where we do not know a figure we say so rather than guessing.

Even so, this information can be wrong, incomplete, or out of date, and schools change it without notice. Each list is a record of what a school’s page said on the day we read it. It is not the admissions office. You are responsible for confirming every deadline, prerequisite and requirement directly with the school and the application service before you rely on it. A missed deadline or a mistaken requirement is not something we can be responsible for, and the reminders in Cyclios are a convenience, not a guarantee of delivery.

Some of this information is published on pages anyone can read without an account, one per school. Everything in this section applies to those pages as well, and this section and section 15 apply to you when you read them, whether or not you ever create an account.

You must be at least 16, and if you are under 18 a parent or guardian must agree to these terms for you. You are responsible for what happens under your account, for keeping your password to yourself if you set one, and for keeping access to your email secure. An emailed link is enough to sign in. One account per person; do not share it.

You own everything you write in Cyclios: your essays, your notes, your reflections. We claim no ownership of any of it.

You give us only the permission we need to operate the service for you: to store, encrypt, back up, display and process your content so the product works. That permission ends when you delete the content or your account. We do not use your writing to train AI models, and we do not publish it or show it to other users.

You agree not to:

• submit work that is not yours as if it were, or use Cyclios to help anyone else do that;
• upload other people’s personal information without a reasonable basis for doing so;
• use the verification or reminder emails to harass anybody;
• scrape, resell, or redistribute the school catalogue, prompts or requirement data, including the public school pages. Reading them, linking to them and quoting a line with attribution is fine; copying the set is not;
• attempt to access another user’s data, or probe or overload the service;
• use the product to break an application service’s own rules.

Application services have their own rules about authorship and originality. Following them is your responsibility, and Cyclios exists to help you organise your own work, not to write it for you.

Some features use AI to classify a forwarded email, read a transcript, or suggest a category. These are suggestions you confirm, and they can be wrong. Check anything that matters, particularly extracted dates and transcript data, before relying on it. Section 2 applies to anything AI produces just as much as to anything else.

When you ask Cyclios to email a supervisor for hours verification, you confirm that you have a reasonable basis to give us their address: in practice, that they are expecting to hear from you. Anyone we contact can decline and opt out of further email.

There is no free version and no free trial. You can create an account and tell us about yourself without paying, and everything past that point needs a plan. Prices are shown before you buy and are charged in US dollars; tax is calculated at checkout where it applies.

Payment is handled by Stripe. Your card details go to Stripe and never reach us. We never see or store a card number. Buying is also agreeing to Stripe’s own terms as the processor.

The monthly, yearly and two-year plans are subscriptions, and they renew automatically at the end of each period at the price then shown for that plan, until you cancel. The four-year plan is a single payment, not a subscription: it grants four years of access from the day you buy it and never renews or charges you again. A Cycle Pass is a single payment covering one application cycle, the cycle you have told us you are applying in, and does not renew.

If we change a price, the new price applies to renewals after we have told you, never retroactively, and never to a four-year plan or Cycle Pass you have already bought.

You can cancel a subscription at any time, and cancelling is not a refund. Cancelling stops the next charge and leaves the period you have already paid for intact: cancel in March on a plan that renews on 1 April and you keep full access until 1 April. You cancel from the billing portal, which you reach from Billing inside the product.

If a payment fails we keep your access on for seven days while you fix it, because a card that expired mid-cycle is not a reason to lock you out of your own application. After that, access stops until payment succeeds.

You can delete your account at any time, which deletes your data as described in the Privacy Policy. Deleting your account does not by itself refund anything. See the next section.

The four-year plan and the Cycle Pass carry a 14-day refund promise. Ask within 14 days of buying, for any reason or none, and we refund it in full.

After 14 days, a four-year plan is refundable in proportion to the time you have not used. A Cycle Pass is not refundable on a proportional basis after that window, because it is scoped to a cycle rather than to a number of days and there is no honest fraction to calculate. Write to us and we will look at it.

Subscriptions are not refunded. Cancelling stops the next charge and you keep the period you paid for, which is what the refund would otherwise be buying you back. Refunding a purchase ends the access it granted.

None of this limits any refund right you have by law, which may be more generous than the above. Ask us at office@cyclios.com.

The four-year plan and the Cycle Pass can be bought for somebody else. The three subscription plans cannot, deliberately: a gifted subscription would renew on the giver’s card indefinitely and could not be cancelled by the person actually using it.

Buying a gift does not require an account, and it does not give the buyer any access to the recipient’s account or any information about them, only whether the code has been used. Gift codes do not expire.

A gift starts when it is redeemed, not when it is bought: a four-year gift opened at Christmas runs four years from Christmas, and a Cycle Pass attaches to the cycle the recipient is actually applying in. A gift is refundable to the person who paid for it, and refunding it ends any access it granted.

If somebody uses your referral code, they get a discount on their first purchase and you earn credit once that purchase is paid for. Rewards are earned on a purchase, not on somebody signing up, and a reward is reversed if the purchase behind it is refunded.

Referrals are single tier: someone you referred referring somebody else earns you nothing. Do not spam people, do not refer yourself from a second account, and do not advertise the code as being from us. We can withhold or reverse a reward we believe was obtained this way, and we can change or end the programme at any time, which does not affect a reward you have already earned and kept.

We will try to keep Cyclios running and to keep your data safe, but the service is provided as it is. We may change, suspend or discontinue features. If we discontinue the service altogether we will give you reasonable notice and a way to export your data.

You can stop using Cyclios and delete your account at any time, which deletes your data as described in the Privacy Policy. Cancelling a subscription and deleting an account are separate things. See sections 9 and 10 for what happens to access and to money.

We may suspend or close an account that breaks these terms, and we will tell you why unless we are prevented from doing so. If we close a paid account for a reason that is not your breach of these terms, we refund the unused part of what you paid.

To the fullest extent the law allows, Cyclios is provided “as is” and “as available”, without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose, accuracy, and non-infringement. We do not warrant that the service will be uninterrupted, that reminders will be delivered, or that any information in it is accurate or current.

To the fullest extent the law allows, we are not liable for indirect, incidental, special, consequential or punitive damages, or for lost opportunities, including a missed deadline, a rejected application, or a lost admission cycle. Our total liability for any claim relating to Cyclios is limited to the greater of the amount you paid us in the twelve months before the claim, or fifty US dollars.

Some jurisdictions do not allow certain limitations, so parts of this section may not apply to you. Nothing here limits liability that cannot lawfully be limited.

You agree to indemnify us against claims arising from your misuse of Cyclios, your breach of these terms, or your submission of another person’s information without a proper basis.

These terms are governed by the laws of the State of Utah, United States, without regard to conflict of law rules, and the courts of the State of Utah, United States have exclusive jurisdiction over any dispute.

If we change these terms in a way that matters, we will publish a new version and ask you to read and accept it the next time you sign in. Continuing to use Cyclios after accepting means the new version applies. Every version is dated at the top of this page.
